Cancellation & Non-Attendance Policy

1. Overview

Occupational Consulting Group (OCG) is committed to providing high quality occupational therapy and assessment services. This Cancellation and Non-Attendance Policy outlines the requirements for cancelling or rescheduling appointments and the circumstances in which cancellation fees may apply.

2. Cancellation Notice

Participants, clients, referrers, or their representatives are required to provide at least 48 hours' notice if they need to cancel or reschedule an appointment. Notice may be provided by phone on 0416 138 209 or by email at hello@theocgroup.com.au.

3. Short Notice Cancellations

A cancellation is considered a short notice cancellation where:

  • Less than 48 hours' notice is provided before the scheduled appointment
  • The participant or client does not attend the appointment
  • The participant or client is unavailable at the scheduled appointment time

4. Cancellation Fees

Where a short notice cancellation occurs, OCG reserves the right to charge a cancellation fee. In the event of a short notice cancellation or non-attendance, OCG may charge or claim up to two (2) hours of occupational therapy funding or fees for the scheduled assessment or service that could not be delivered.

5. Exceptional Circumstances

OCG understands that unexpected situations may arise. Cancellation fees may be waived at OCG's discretion in exceptional circumstances, including but not limited to medical emergencies, family emergencies, hospitalisation, or natural disasters.

6. OCG-Initiated Cancellations

If OCG is required to cancel or reschedule an appointment due to clinician illness, unforeseen circumstances, or operational requirements, the client or referrer will be notified as soon as practicable and an alternative appointment will be offered. No cancellation fees will apply in these circumstances.
